• A $1,500 per-person deposit is required at the time of registration to secure your reservation.
• The deposit is applied toward the total program cost and is subject to the Cancellation, Postponement, No-Show, and Program Modification Policies outlined herein.
• Applicable fees may be deducted from the deposit or other funds previously paid, or charged to the credit card on file as permitted under these policies.
• Certain promotional, discounted, or restricted-rate offerings may render deposits non-refundable or subject to additional restrictions regardless of cancellation or postponement timing.

Guests who reserve a program with a “TBD” (To Be Determined) start date are securing their reservation at the current rates, promotions, and discounts available at the time of booking.

• Promotional rates and discounts associated with a TBD reservation are valid only through the remainder of the calendar year in which the reservation is made.
• A confirmed program start date must be selected on or before December 31 of that calendar year in order to retain those rates and promotions.
• Selecting a future start date prior to December 31 preserves the applicable rate or promotion even if the selected program date occurs in a subsequent calendar year, unless the promotional terms specifically state otherwise.

If a start date is not selected by the end of the calendar year:

• The reservation will no longer be eligible for the original promotional rates or pricing, and
• The deposit will be converted to a non-refundable account credit, which may be applied toward a future stay at the current rates in effect at the time of rebooking.

All standard cancellation, postponement, and modification policies will apply once a program start date is selected.  

Unite Fitness Retreat strongly recommends that all guests purchase travel insurance to protect their investment against unforeseen circumstances that may prevent or interrupt participation, including illness, injury, family emergencies, travel disruptions, severe weather, or other unexpected events.

Unite Fitness Retreat's Cancellation, Postponement, No-Show, Program Modification, and Early Departure Policies apply regardless of the reason for the change, except where Unite Fitness Retreat management expressly approves an exception.

Travel insurance may provide coverage for certain losses or expenses that are not refundable or recoverable under Unite Fitness Retreat's policies. Coverage varies by provider and policy, and guests are responsible for reviewing and selecting coverage appropriate to their needs.

Unite Fitness Retreat shall not be held liable or responsible for failure or delay in the performance of any obligation when such failure or delay is caused by events beyond its reasonable control (“Force Majeure Events”).

Force Majeure Events include, but are not limited to:

• Acts of God (including earthquakes, floods, fires, severe weather, or natural disasters)

• Public health emergencies, pandemics, epidemics, or government-mandated quarantines

• Government orders, travel restrictions, border closures, or changes in law

• War, terrorism, civil unrest, or labor disruptions

• Utility failures, transportation interruptions, or supply chain disruptions

• Any other event or circumstance beyond Unite Fitness Retreat’s reasonable control

In the event a Force Majeure Event prevents, delays, or materially alters program operations:

• Unite Fitness Retreat reserves the right to reschedule, modify, relocate, shorten, or cancel any program without liability.

• Guests will not be entitled to refunds for programs affected by a Force Majeure Event.

• At Unite Fitness Retreat’s sole discretion, guests may be offered:

  • A future account credit, or

  • The option to reschedule their program, subject to availability and current rates.

• Guest-initiated cancellations, postponements, No Shows, and Early Departures remain subject to the applicable policies outlined herein. Unite Fitness Retreat reserves the right to modify the application of these policies when a Force Majeure Event directly affects program operations.

Guests are strongly encouraged to purchase travel insurance to protect against losses related to Force Majeure Events.

Any request to cancel, postpone, shorten, downgrade, or otherwise modify a reservation will be governed by the applicable policy below. The date Unite Fitness Retreat receives the guest's written or verbal request will determine the applicable notice period and any associated fees.

Guests may request to postpone their program by providing notice via email or phone. Written confirmation will be sent acknowledging receipt of the request and any applicable fees or credits.

Unite Fitness Retreat encourages guests who are unable to attend their scheduled program to postpone and reschedule rather than cancel. Our postponement policy is designed to preserve as much of the guest's investment as possible while recognizing the operational impact of schedule changes.

• Applicable postponement fees will be deducted from funds already paid or may be charged to the credit card on file.
• After deduction of the applicable postponement fee, remaining funds previously paid will be converted to non-refundable account credit toward a future stay.
• Any unpaid program balance will not become due solely as a result of a postponement made prior to the scheduled program start date.
• Account credits must be applied toward the current advertised or promotional rates available when new dates are selected.
• Due to rising operational costs, future program rates may differ from the rates originally secured.
• Promotional or restricted-rate reservations may carry more restrictive terms, which supersede this policy.

Once funds have been converted to account credit as the result of a postponement, those funds are no longer eligible for a cash refund through a subsequent cancellation request. The credit will remain available for future use in accordance with the Account Credit provisions below.

Postponement Fees & Credits

The applicable postponement fee may be deducted from funds already paid or charged to the credit card on file. Any remaining funds will be converted to non-refundable account credit toward a future stay.

An unpaid program balance does not become due solely because a guest postpones prior to the scheduled program start date.

Late Postponement Clarification

Postponement requests received within seven (7) days of the scheduled program start date will result in a $1,000 postponement fee.

• The postponement fee will be deducted from funds already paid or may be charged to the credit card on file.
• Any remaining funds previously paid will be retained as non-refundable account credit toward a future stay.
• Any unpaid program balance will not become due as a result of the postponement.
• Future reservations will be subject to the rates and promotions available at the time new program dates are selected.

A postponement request must be received before the scheduled program start date. Failure to cancel or postpone prior to the scheduled program start date will constitute a No Show and will be subject to the No-Show Policy.

Unless specifically stated otherwise in the terms of a promotional offer, account credits issued by Unite Fitness Retreat do not expire and may be transferred to another individual.

When account credit is created as the result of a postponement, any applicable postponement fee will first be deducted from funds previously paid. The remaining amount will then be retained as account credit.

Account credits:

• Have no cash value and are not refundable unless specifically provided for under these policies.
• May be applied toward a future Unite Fitness Retreat program.
• Are applied toward the rates, promotions, and program pricing in effect at the time the future reservation is made.
• Do not guarantee the rates, accommodations, program length, or promotional terms associated with the original reservation.

Once funds have been converted to account credit, they may not subsequently be converted back to a cash refund.

Guests who voluntarily depart prior to completion of their scheduled program are not entitled to a refund for unused program days or services.

In rare, documented extenuating circumstances, Unite Fitness Retreat management may, at its sole discretion, approve a prorated account credit for a portion of the unused program.

Any approved early-departure credit:

• Is subject to a $500 change fee;
• Is non-refundable and may be applied toward a future Unite Fitness Retreat program; and
• Will be applied toward the rates, promotions, and program pricing in effect when the future reservation is made.

The amount of any credit will be determined by Unite Fitness Retreat management based on the circumstances of the early departure and the portion of the program remaining.

• A 10% service charge plus applicable taxes applies to all à la carte and additional services.
• The service charge covers administrative and coordination services associated with providing these additional services.
• A valid credit card is required at check-in for incidentals.

Unite Fitness Retreat collects personal, medical, and payment information necessary to provide services, accommodations, and programming.

• Access to personal information is restricted to employees with a business need-to-know.

• Guest information is never sold or rented.

• Medical information is disclosed only with written authorization or as required by law.

Unite Fitness Retreat reserves the right to modify these policies at any time. Unless otherwise expressly stated, policy updates will apply to new reservations and reservation changes made after the effective date of the updated policy. Reservations already confirmed will remain subject to the applicable terms in effect when the reservation was confirmed, except where a guest subsequently modifies, postpones, or rebooks the reservation and the applicable policy expressly provides otherwise.
